01 Definition

What it is

One paragraph, no hedging, before any of the argument starts.

It is not an answering service and it is not a receptionist. Nobody and nothing speaks to your caller. There is no app for them to install and nothing for them to understand: they rang a business, and a business texted them back.

The mechanism is deliberately small. Your number is configured so calls pass through a telephony layer before ringing your phone. In the normal case that layer does nothing at all — the call rings, you answer, everything is as it was. When a call is not answered, it sends the message you wrote in advance.

    You are on a job, with a client, driving, or asleep. The call rings out or goes to voicemail exactly as it does today.

    A message you wrote goes out from your business number, saying who you are, that you are on a job, and asking what they need.

    They reply with the job

    Most people answer straight away, because they are still holding the phone they just rang you on. Their reply carries the work, the suburb and the urgency.

    The enquiry reaches you written down

    You ring back knowing what the job is and whether it is worth stopping for, instead of ringing a number with no context.

The whole value sits in step two. A caller who has just heard nothing is deciding what to do next, and that decision takes a minute or two. The same message an hour later reaches somebody who has already booked elsewhere — which is why it has to be automatic. A person sending it manually would be busy, and being busy was the original problem.

  • It does not answer the phone. No synthetic voice, no operator, nobody pretending to be you.
  • It does not change your number. Same number, same provider, same account. Nothing to tell your customers.
  • It does not quote or book. It captures what the caller needs and hands it to you. The decisions stay yours.
  • It does not replace ringing people back. It holds the caller for the minutes or hours until you can, which is where the job is won or lost.
  • It does not record your calls. Only the text conversation exists. What is on your calls stays on your calls.
  • It does not text people who never rang you. That is marketing, it is governed by different rules, and it is not what this is.

What is missed-call text-back?

Missed-call text-back automatically sends a text message to anyone whose call to your business goes unanswered, usually within seconds. The caller can reply in writing, and their reply reaches you as a written enquiry rather than an unexplained number in your call log.

Do I have to change my phone number?

No. It sits on top of the number you already give people — mobile, landline or business line. Nothing switches over, nothing needs to be told to your customers, and if you stop using it your number carries on exactly as before.

What if I answer the call?

Then nothing happens. The text only fires on a call nobody answered. An answered call, including one answered by someone else on a diversion, is not a missed call.

How fast does the text go out?

Within seconds of the call going unanswered. The timing is the entire point — the caller is still holding their phone, still deciding whether to try the next business, and that decision is made in a minute or two rather than an hour.

Does it work if my phone is off or out of range?

Yes. The text is sent from the network, not from your handset, so it does not depend on your phone having signal, battery, or being switched on.

What does it cost?

$50 a month, at any call volume. There is no per-call charge, no setup fee, no contract and no exit fee, so a busy month and a quiet month cost the same.

What happens to the replies?

They come to you with the job written out — what the work is, where, when they need it, and photos if they sent any. Every enquiry stays on record instead of living in a call log.

Will it text the same person every time they call?

No. Repeat messaging is limited, so a regular caller who misses you twice in a day does not get texted twice.

Is it the same as an AI receptionist?

No. An AI receptionist answers the call and holds a spoken conversation. Missed-call text-back does not answer the call at all — it sends a text you wrote, which is simpler, cheaper, and cannot mishear anybody.

Is texting customers allowed in Australia?

Replying to someone who has just rung your business is ordinary business conduct, and the clearest case there is for inferred consent under the Spam Act 2003. Identify yourself clearly, honour any request to stop, and keep it responsive rather than promotional.
